Coordinator Job Descriptions: 2010-2011 School Year
Chaperones
- Coordinates parent chaperones to stay with the
rowers overnight at each of the away regattas. Minimum of 2 men and 2
women for each night.
Crew Team
Drivers Coordinator
- Coordinates bus arrangements and overflow parent
drivers to and from away regattas.
- Provides maps, oversees loading of students and their
belongings, and assists coaching staff as needed to see that the team
leaves on time.
FHN Athletic
Boosters Liaisons
- Represents FHN Crew at monthly
Boosters meeting, submits funding requests and coordinates volunteers as needed
for concessions, etc.
- Coordinates information with
coaches.
Fundraising
- Researches ideas, plans and executes
fundraisers.
- Leads New Boat Committee. Researches ideas and
plans to purchase a new 8 boat.
Equipment
Drivers
- Organizes drivers for gear and boat trailers.
- Arranges for loading and unloading trailers
before and after regattas.
- Responsible for keeping trailers clean.
Kitchen/Site
- Responsible for the planning,
purchasing, and organizing of food, drinks, and related supplies for each
regatta. Packs and labels coolers, prints menus, etc,
- Organizes the preparation and
serving of the food to the team, clean up and packing-up after each
regatta.
- Collects and turns in all
receipts to the Treasurer.
- Organizes site set-up and take
down of tents, tables, etc at regatta site.
Web Site
- Updates web site information as
needed to include current regatta dates and results, maps, lodging
information, etc.
- Designs new web site features.
Camera Crew
Team
- Coordinates with a student volunteer to collect
photographs of the team throughout the regatta season.
- Composes a Crew Video (10-12 minute)
presentation for awards night.
- Works with student volunteer to have needed
equipment available at awards night.
Public
Relations
- Contacts GR Press and Ada
Advance for press coverage for local and special events.
- Sends articles and photos to papers after every
regatta with results.
- Makes announcements in HS and MS newsletters.
- Keeps a copy of articles, etc. in Binder
Recruiting
- Researches and implements ideas
and structure for building team awareness and membership. Works with
varsity captains to increases awareness of regattas, both in attendance
and announcing results after regattas. Ideas are not limited to but
include Crew Flags lining the front driveway the Friday before regattas,
placing posters in the middle school, presenting the club at 8th grade parents night.
E-mail
Address/Phone Tree
- Coordinates email addresses and
sends email communications throughout the year.
- Creates a phone-tree chart and
makes copies for parents.
- Coordinates and activates the
phone tree when notified by Coach or Board Members for communicating any
last minute changes/details.
Awards/Kick-off
Team
- Responsible to plan and
organize new Parents Night-(in February), mail information packets to all
parents (late February), Crew Kick–off all parent meeting (March)
and Awards Night (June).
- Responsible for sending out
notices, room reservation and set-up with refreshments.
Uniforms/Crew
Gear Team
- Arranges to have samples at the
Annual Mandatory Parents Meeting (February)
- Orders, delivers and invoices
team uniforms, travel duffels and related clothing.
Summer Crew
Camp
- Sends welcome letter, coordinates
registration, t-shirts etc.
- Schedules student coaches as
needed.
